Transformation Awaits: Upgrade to HCL Domino v12 Now

We are deeply invested in the future of Domino, since it continues to be the underlying platform powering core business processes around the globe — for airlines, banks, health-care organizations, and governments. In the past two years, we have delivered two exciting new Domino releases that include new features aimed at improving our software’s usability, as well as important security updates. Our latest release — v12 — has been well-received and many customers have already upgraded. Given our customer’s positive response, we are announcing the end of marketing and support for two of our older releases.

End of Marketing (EOM) and End of Support (EOS) for Domino and Notes v9.0.x and v10.0.x 

We announce today the EOM and EOS for Domino and Notes v9.0.x and v10.0.x effective December 1, 2022 (EOM), and June 1, 2024 (EOS). We wanted to provide ample time for our customers to prepare. 

What Does This Mean for You, as a Domino Customer? 

  • End of Marketing (EOM) – HCL ceases selling the specific product versions in this announcement and removes them from the HCL FlexNet software download site effective December 1, 2022.  This allows our existing customers to download versions 9.0.x and 10.0.x before December 1, 2022, if desired.    
  • End of Support (EOS) – HCL ceases support for the specific product versions in this announcement effective June 1, 2024. Customers should deploy a more recent software version.   
  • No extended support will be offered for the specific product versions listed in this announcement.

Note:*
Recently, Microsoft announced an initiative to consolidate its Outlook clients and mail protocols. In addition, they announced the deprecation of the Exchange Web Services (EWS) protocol and API and its M365-based replacement that even Exchange on-premises customers will need to use.  

Due to the change in Microsoft’s protocol, and since most of the Domino customer base are Windows users, HCL has decided to invest in HCL Microsoft for Outlook (HTMO) to provide the open mail experience rather than continuing to develop EWS support. Specifically, our plan to deliver support for Outlook on Mac and Mobile under Project Quattro has ended. Consequently, in subsequent HTMO releases, we’ll focus on improving the ease of installation, performance, stability, and provide calendar feature parity with Notes and Verse where applicable.

Early Access to New Domino REST API Beta Is Now Available

As part of the Domino Early Access Program, we are pleased to announce the first beta of the Domino REST APIs (formerly known as “Project Keep”). We heard from our customers that these APIs play an essential role in allowing you to extend your Domino applications. These APIs are on the roadmap for delivery for Domino Complete Collaboration (CCB) and Domino CEO Communications customers on active support along with the Domino “Danube” release coming in the fall of 2022. Note: The REST APIs only work with Domino v12.0.1 and higher (if you haven’t upgraded yet, now’s the time!). 

 

What is it?   

The Domino REST APIs allow for pro-code development through secure access to HCL Domino servers and databases, allowing you to use the programming language and framework of your choice — while maintaining the reliability and deployability of your Domino data and applications. They run alongside the server and allow you to — securely and easily — expose your Domino data in the form of standardized Open-API–based methods. Using a browser-based admin UI, application owners can define which data will be made available for view or update on a REST API. The APIs extends the Domino principles of reader/author document access definitions into the world of Internet protocols.

The Domino REST APIs also includes the Swagger UI, an API explorer that allows the visualization and interaction with APIs without having any of the actual implementation logic in place. The APIs are automatically generated from an OpenAPI (formerly Swagger) specification with visual documentation, making it easier to later implement the back-end code.

What’s special about the new Domino REST APIs?  

  • Secure by default, with fine granular controls per form, field, and user basis  
  • Implements latest open standards
  • HTTP/2-ready, for server-to-server or client-to-server communication
  • API-first design with full interactive documentation
  • Low barrier to entry, as it runs on a Domino server and/or your Notes client
  • Admin UI and Postman samples included
  • State-of-the-art JWT access token integrated with your existing IdP infrastructure

What can be accessed via the Domino REST APIs? 

You can access content like views, documents, and fields, as well as agents and ACL settings. And, of course, featuring DQL queries to quickly access the data you are looking for.

Built-in declarative security ensures the API will only allow access to fields the caller is authorized to see or update. This can effectively prevent computed fields to be overwritten and limits participants in a workflow to update their fields only.

How is this different than the previous beta program? 

The Domino REST APIs are now focused on application-based data. We will not be providing APIs for mail-related data and tasks. In addition, participation in the beta and access to the shipping release will require a Domino Complete Collaboration (CCB) and Domino CEO Communications license.

How to participate

The Domino REST API is now available as a prepacked, ready-to-use Docker container to Domino Complete Collaboration (CCB) and Domino CEO Communications customers on active support. The download will be available in the “HCL Domino” product line category on our License and Download Portal. Please visit the documentation here to learn more and to set up your test environment.

Join Our Beta! Introducing Domino “Danube” Early Access Program

After the successful launch of HCL Domino v12.0.1 in December 2021, we are approaching the next release milestone: Today, we are happy to announce the new early access program for HCL Domino Danube!

You are invited to join the early access program to beta test our latest release and give feedback to our development teams.

We’re calling on our community to share honest, effective, and thoughtful reviews and testing of our software product. Your input is always essential for developing our products, and we will continue to listen to you every step of the way.

What you can expect from this first drop of Domino Danube:

HCL Domino Server 

For the Domino server, there are several enhancements waiting for you: 

  • Anti-virus scanning for message attachments 
    This will allow you to set up HCL Domino to work with an ICAP protocol server to scan for viruses in mail message attachments. 
  • Windows VSS support in Domino backup 
    Domino now provides a native Windows VSS writer for snapshot backups for use with the Domino backup and restore. VSS writers are designed for application-aware VSS snapshots. 
  • DAOS improvements 
    A new server task, DAOS Encryption Manager (daosencmgr), can be used to ensure DAOS objects on an HCL Domino server use a consistent encryption key.
  • XPages: upgrade to CKEditor 
    CKEditor, used in iNotes, is now version 4.5.6.1. Previously it was version 4.18.0. The new CKEditor version is also used in XPages.
  • New version of OpenSSL 
    HCL Domino now uses OpenSSL version 3.0.1. (it used OpenSSL version 1.1.1a previously).
  • Support for 5.x Linux kernels 
  • “Tell Domino support” console command 
    You can use the new tell domino support command to collect diagnostic files recently created in the IBM_TECHNICAL_SUPPORT directory into a .zip file to provide to support.
  • 256bit AES Encryption for database 
    The new default selection for database encryption is 128-bit AES. Previously it was Strong Encryption.
  • Administration Quick enhancements 
    Administration Quick (AdminQ) has been enhanced in Domino Danube.
  • Domino directory user interface enhancements 
    These Domino directory user interface enhancements are added for improved usability. 

… Plus, several other minor changes and performance improvements.

And this is just the first beta drop! We are going to release even more features and Notes client builds in the coming stages of the early access program. We are planning to have monthly drops until the end of September (subject to change).

What Do My Kitchen, Bruce Willis, and Microsoft Power Platform Have in Common? (And Why You Need HCL Domino.)

About three weeks ago, my entire new and expensive kitchen went dark. I gave my wife a confident smile, said, “I got this,” and went to the basement to flip a few breakers. As you can probably gather, I didn’t “got” this, and the stubborn breakers kept flipping back as if mocking me. I took the walk of shame upstairs and called my friend Rebecca, the electrician. 

My kitchen was not part of the original house and was an addition done later, so Rebecca was able to get behind the wall and take a look. This is where the Bruce Willis part comes in. Having watched The Fifth Element the night before, I made a joke by imitating Chris Tucker playing Ruby Rod in the scene where he discovers the bomb that’s about to blow up the entire place. I said, “Corbin, Corbin, my man, you know how to stop this, right?” The look Rebecca gave me was exactly the look on the face of Bruce Willis, right as they started running to the escape ship just before the big explosion.

The wiring was a complete mess and obviously not to code. Rebecca said that the kitchen could’ve easily caught fire, and, unlike Bruce Willis, I did not have an escape ship to run to. 

So how does this relate to Microsoft Power Platform? 

As you probably know, Microsoft Power Platform consists of four parts, Power BI, Power Apps, Power Automate, and Power Virtual Agents. If you want to build any business app that is beyond just a simple form, you need at least the two main parts of the platform, Power Apps to build the UI and Power Automate to build the workflow and automation. (Oh, and let’s not forget the data sources such as Dataverse and other data connectors.) 

For example, if you just want to send a simple email, you need to create a form in Power Apps and then pass the values into Power Automate a.k.a. Microsoft Flow to execute it. Here is an example of the process in Automate after something gets filled out in a form. (Please pay attention to the title of each box.)

This is just a simple flow, but you get the picture. We all know how incredibly easy it is to do this in HCL Domino. These flows can get extremely complex, split many ways, and integrated into multiple SaaS products. Imagine dozens of them for just one app, and that’s where things get really tangled up (like the bad wiring behind the wall in my kitchen), and things could go wrong (boom, big bada boom). 

In my previous life, when I used to run a marketing technology company, I integrated an ancient twenty-five-year-old Microsoft Access database with Facebook Ads using Microsoft Flow. I created very complex processes that worked well and even got my company a case study on Facebook.com. 

What the case study didn’t mention is that six months later, just like my kitchen, everything went dark. No leads were coming through right in the middle of the busy season. I went back to the code and had the exact same terrified look that Rebecca  and Bruce Willis had in their movie. I figured it out eventually, but it took a few sleepless nights and a lot of anxiety. Now that I am gone, I don’t know what will happen if there is a next time and things go dark again.  

To achieve a viable solution with Microsoft Power Platform, you need to learn four overly complicated products that are nothing like one another. They were four different products until some Microsoft marketing head decided to lump them together (I admit that this is conjecture). One of Microsoft’s taglines about the Power Platform is: “Give everyone the ability to create solutions that accelerate business.”  Really? Seriously? At What Cost? Risk? Real, business-critical solutions come from technology that is not cobbled together that changes every six months. With Microsoft, to debug something, it really is like looking at a mess of wires behind a fifteen-year-old kitchen wall!   

Now you can see what my kitchen and the Microsoft Power Platform have in common. 

They all might just go down if one thing goes wrong. And how does this all relate to why you need Domino? Customers always tell me how they have been running Domino Apps for YEARS with no problems. Simply nothing goes dark. Ever! I am not saying that Domino can’t be complicated, but what I am saying is that the code has already been written and simply works. And what we are trying to do here at HCL is to expand and modernize Domino while minimizing risk, time, and the expense of a traditional rip and replace process that can be fraught with so many pitfalls and unforeseen costs (just like my new kitchen).   

In today’s crazy world, is it really a good idea to try something new and unproven? 

All I ask is that you go past the marketing hype and really, really look at what really drives your business and how you can make your workflows even better with minimal disruption and risk. 

I am not preaching Domino here (well, a little), but what I am saying is that we at HCL are very much aware how critical business continuity is…and how Domino plays a huge part in that process. We are doing everything possible to make sure that your existing Domino investment like existing code, data, security and management can be leveraged within any new tech you add to your stack, instead of being ripped out and replaced by a set of electrical wires that can burn down not only your kitchen but the entire house. (Dramatic music, please.)

After all, none of us won’t end up like Gary Oldman in the end of The Fifth Element, do we?

  • For HCL Nomad Web, version 1.0.3 provides usability enhancements and is delivering functionality that customers have been waiting for.
  • A new application switcher enhances the user interface with an optional dropdown menu displayed in the navigation bar of HCL Nomad for Web. This allows administrators to define shortcuts to specific applications. A very handy feature for customizing the user experience!
  • Replication a key feature of the Domino platform to take applications offline is now also available to Nomad Web users. Released at this time as a “Tech Preview” feature, due to an issue in the Chromium browser engine. For more details please refer to our documentation.

HCL Nomad for iOS 

For mobile users with Apple iOS devices, HCL Nomad 1.0.20 is available in the app store now!

This release provides the ability to scan QR codes, a feature requested in this idea, which enables building new mobile applications, e.g. for inventory management and more. And, it offers improved text input support and numerous bug fixes.

HCL Nomad for Android

For users on Android devices, HCL Nomad 1.0.28 has just been published to the Google PlayStore and Flexnet.

In this release we are providing administrators refined Biometric authentication options to handle removal of fingerprint data gracefully.

Tutorial: How to Secure Domino Using Certmgr Task (letsencrypt)

With the stunning increase in security breaches and ongoing changes to regulations, Domino continues to provide a rock-solid, extremely secure platform to power your business. Today, I’m excited to share that with v12, we have a more secure and straight-forward way to implement TLS in Domino Server using “Let’s Encrypt.”  

Before getting into that, here’s a brief background about Let’s Encrypt. Let’s Encrypt is a non-profit certificate authority run by the Internet Security Research Group (ISRG) that provides X.509 certificates for Transport Layer Security (TLS) encryption at no charge. It is the world’s largest certificate authority, used by millions of websites. 

To have a secured website, you need to have https enabled on the server. To enable https, we need a certificate from a certificate authority (CA). Let’s Encrypt is one such CA, which also uses advanced encryption techniques at zero cost. 

Prior to Domino v12, OpenSSL and kyrtool tools were used to enable HTTPS for webmail. With the latest version, the certmgr task is now used to perform the same without creating any kyr files. 

With Domino V12, the certstore.nsf database is used to create and generate TLS certificates using Let’s Encrypt. You can also import the certificates into the database to manage them. 

Main requirements include Domino v12 server and a valid DNS (A-record) which can be accessed by the internet. The certstore.nsf, created on the admin server with the certmgr task running on the admin server, will act as a web agent which interacts with the Lets Encrypt to generate the keys. Let’s Encrypt will verify the domain name that is requested and issue one or more sets of challenges to provide the certificate. 

From the Domino end, we must make sure that the DNS and port are accessible on the open internet to perform the challenges.

Below is a tutorial on creating a new certificate using Let’s Encrypt.

Prerequisite:

  • Domino V12 and above. 
  • a valid DNS nameA record 
  • Ports 80 and 443 should be open for access.

First, you need to have a certificate store database (certstore.nsf) – it will be created by default, or you can create the same using certstore.ntf. Make sure that the certificate store (certstore.nsf) is created on the admin server. Open the certificate store and you will see the existing TLS certificate details as shown below.

To generate a new TLS certificate, navigate to the certstore.nsf and select “Add TLS Certificate.”

You will be prompted with the window below where you will be providing the required details to create the certificate. 

You must provide the Host names (mostly your host server name). 

In this example, we set the ACME account as “LetsEncryptStaging”, a non-production server performing the challenges. 

You can either choose RSA or ECDSA based on your requirement. Based on your environment provide the certificate attributes.

Once the required attributes are provided, you can submit the request.

After the request is submitted, you can see the new certificate request in the database which is yet to be processed as shown below. 

The certmgr task will initiate the request and perform the challenges with the Let’s Encrypt server. 

If the challenges are performed and completed, you will see the status as below. 

Since you have used the staging account, you may receive a warning message as the certificate is self-signed as shown below. 

Now you need to perform the same on the production ACME server – edit the document and change the ACME Account to “LetsEncryptProduction” and submit the request.

You will see the status below and it should allow the certmgr to process the request. 

You can check the status in the database once the request is processed—the status should be green. 

If there is any error message or if any challenges failed, you will see the status as red. You can also verify the error message in the request. 

The processed request will be as shown below, where the status will be issued and valid as shown below. 

You can validate the certificate as shown below. 

By default, the certificates are valid for 3 months – and certmgr will automatically renew them before they expire.

How Domino v12 Improves an Administrator’s Life

As someone who has spent almost 28 years working around HCL Notes and Domino administration, my mind was blown with the number of new features that were delivered when v12 shipped in May of 2021.  And HCL kept the pedal pressed to the floorboard, introducing many more enhancements with Domino v12.0.1 in December of 2021. 

Considering the primary goal of a systems administrator is to protect the service, these new offerings make obtaining that goal easier.  When it comes to simplifying configuration, boosting security, and ensuring data integrity, Domino sets you up for success.

Nomad Web 

For years you have had the option of letting your end users access their Domino data from the Notes client or a web browser.  The Notes client provides various UI features, and the web browser offers mobility.  Nomad Web gives you the best of both worlds – a Notes client that is accessible from anywhere with zero local install required. 

By deploying Nomad Web, you no longer manage Notes client deployments.  The binary files supporting Nomad Web are on a single server.  In just a few minutes you can upgrade thousands of users to a new Notes version, apply a fix pack, etc. 

And, when migrating Notes users to Nomad Web, they can take their Notes desktop with them.  Out of the box, they have all their same databases available.

CertMgr  

Just like you wouldn’t send a letter in a non-sealed envelope, you should take the same safeguard and put a lock on your system’s network traffic.   

Domino v12 has a new Certificate Manager feature, which provides an easy and effective way of managing TLS credentials used for securing Domino server communications.  From within the Certificate Store database, you can create certificate requests, add trusted roots, upload received certificates and configure automatic renewal of Let’s Encrypt certificates.   

In v12.0.1 you can import PEM/PKCS12 certificates, export TLS credentials to PEM/PKCS12 certificates and create your own Domino based certificate authority.

Backups and Restores 

Mistakes, failures, and disasters happen.  Your ability to respond to these events is a keystone in data management.   

Domino v12 has a native backup and restore offering.  The configuration, processing and logging is all part of Domino.  As a result, the Domino administrator has complete control over protecting Domino’s data.   

Additionally, you can use third party backup software and integrate it with the native feature.  Domino v12.0.1 allows you to reliably restore data from a third party.  Full integration with Veeam snapshots are possible, too.

DKIM 

Domain Keys Identified Mail, DKIM, is an email security standard used to guarantee email messages are not tampered with during transit.   

Domino v12.0.1 supports DKIM by adding an encrypted signature to the messaging header of outbound emails.  DKIM signatures not only assure message contents but also confirm the originating point, meaning your sender addresses cannot be forged.  Adding DKIM to the Domino configuration allows recipients of your domain’s email to trust your communication’s authenticity.

Time-based One-time Password (TOTP) Authentication 

Domino v12 delivers 2-Factor authentication, requiring web users to provide both their user name/password credentials and a unique six-digit token.  The token is unique for the user, generated by the TOTP application and the user’s Domino ID Vault server.  While a third party may obtain a user’s credentials, they will not have access to the device running the TOTP application.  Hence, they cannot provide the required code and the access attempt fails.

IP Address Lockout 

The ability to control Domino resource access by IP address has been part of the SMTP and Router configuration for several releases.  With v12 you can also define which IP addresses are allowed to access the Domino server from a web browser.  Addresses outside of the allowed list will be denied access.

iNotes/Verse and User IDs 

A cornerstone of Notes client security is the ability to sign and encrypt email.  With the move to accessing email from a web browser, iNotes and Verse support document signing and encrypting by requiring a copy of the Notes ID be contained in the mail file.   

With v12.0.1 iNotes and Verse can use the ID stored in the ID Vault.  This enhancement continues the trend towards leveraging the ID Vault for security operations.  Using the ID Vault provides a secure, centralized and sustainable ID file storage strategy, which improves the formidability of the Domino deployment.

Domino Directory Enhancements 

The Domino Directory is where administrators do most of their configuration work.  Domino v12 adds new features to improve the directory’s usability. 

  • Auto group population: Groups can now be automatically updated based on a pre-defined criteria.  In a group document select Custom for the Auto Populate Method field and use the Selection Criteria field to define a LDAP search query, which will search the Domino Directory.  For example, have a membership list based on department name specified in person documents.
  • Mail-in database usability: The Mail-in Databases and Resources view now displays the Internet email address of mail-in databases. Also, there is a Go to Database action button available.  Pressing this button, opens the respective mail-in database of the document in focus.
  • Find Groups button: The Find Group action button, located on the Person document, shows all groups the user belongs to.  This is for both groups where the user is listed as a member and nested groups.
  • Find Server Config button: The Server document has a new Find Server Config action button, which displays a list of Configuration Settings documents associated with the server.  From the document list you may select one and open it. 

 AdminQ 

The Administration Process in Domino automates user renames, updating a locally stored ID, group listings, access control lists and Names fields in documents.  However, if a user does not log in from a Notes client, the rename process fails to complete. 

New to v12.0.1 is Admin Quick, which is a Notes database, adminq.nsf, AdminP uses to process user renames automatically.  While this feature is intended for iNotes and Verse users, the administrator can extend it to all users.

Cloud Native 

Cloud computing provides a means to be flexible and scalable without having to internally support an expensive infrastructure and respective IT staff, which equals the ability to stay competitive at a reduced cost. 

Your Domino v12 servers can be part of your cloud journey.  V12 is fully supported to run on all major platform vendors, including Google, Azure and AWS.  Domino servers are certified for Docker, Kubernetes, and Red Hat’s OpenShift.  As always, Domino provides you with options.

One Touch Setup 

Part of a modern DevOps strategy is the ability to quickly deploy servers using a script that defines configuration settings.  Additionally, re using a script ensures your standards are applied to each install. 

Domino v12 allows you to use a JSON when building new servers.  The JSON can be used for the first domain server or additional servers.  When deploying Domino on Docker, Windows and UNIX platforms a JSON can set up the Domino server, an ID Vault, register users, configure directory assistance, create/update applications/documents and enable agents.

Advanced Properties Box 

The document properties box is a valuable troubleshooting tool when it comes to reviewing document contents, specifically field values.   

With the Notes v12.0.1 client you now have an Advanced Properties box that allows you to search for field names and values, copy rows of data as a CSV, view profile documents and compare documents.  And, the advanced properties box can be resized, making the text easier to read.

AD/Domino Password Sync 

The Domino Directory, also known as the Public Address book, has existed since v1 was released in 1989.  And while it is great for managing a Domino environment, most often it is not the only system directory you have.  You wind up duplicating efforts with user life cycle processing. 

To reduce administration efforts Domino v11 introduced the ability to synchronize the contents of AD to the Domino Directory, which includes both user and group documents.  User creations, renames and deletions are performed in AD and then flow to the Domino Directory. 

Domino v12 now includes password synchronization with AD.  When a user’s password is changed in AD, the password for the respective user ID in the ID Vault and Internet password in the Person document are updated to the same value.

Conclusion 

Domino v12 and v12.0.1 offer several new features that the administrator can use to improve the security and operations of the Notes and Domino infrastructure, all while decreasing total cost of ownership.  Most important, these are all included as part of the entitlement, no additional cost required.  There has never been a better time to upgrade!   

And I can assure you that HCL is not backing off the commitment to continue delivering powerful administrative features as we look to Domino v12.0.2 and beyond.

What Is It? A Workflow Primer.

A workflow is a series of tasks, set in a specific sequence, that process a set of data. Whenever data is passed between systems or team members, a workflow is created. These kinds of workflows are what every organization has in place for a wide variety of tasks, processes, or functions. HCL keeps making improvements and investing in all our products, and HCL Domino has a strong and future-proof roadmap. The latest version (v12.0.1) has a lot of new features and improvements. I have been using Notes Client for many years, and it has improved with each version, here is a summary of some of the latest features of Notes Client that you will surely love and will help you with everyday life.

1. You Can Access Your Email from Anywhere — Even Offline  

Due to the global pandemic, most of us are working from home. So, with Notes, even if you don’t have immediate internet access, you can draft emails and keep working. There are times that the internet connection is intermittent, or even lost due to unforeseen circumstances. Emails prepared offline will be sent as soon as the Internet connection is re-established. 

Also, customers have told us that when traveling on a plane or going somewhere, their favorite work-related activity is to clear up their email backlog. Most of them work in Notes Client during their journey. They can read and respond to email just like they would when they are at their desk connected to the Internet. As the Internet connection is re-established, the email is automatically sent.

2. You Can Schedule When Emails Are Delivered

There are times when you want to schedule or delay the sending of an email if you’re working late and want to send an important email to a customer/client, you may not necessarily want it to show up in their inbox at 12 midnight). You can schedule the sending of that message so that it will appear in their Inbox closer to their working hours.

3. You Can Recall an Email 

Have you ever experienced that sinking feeling as you realize you have accidentally sent an email to the wrong person? Or experienced sending email with incorrect data or missing attachment? So yes, sending an email to the wrong person or group can be embarrassing. Here’s how.

4. You Can Categorize Email Items to Stay Organized

Hunting and pecking to find a lost email can be frustrating and time-consuming but Notes now has an easy way to search by sender. You can quickly find a name in this view by typing any string of characters in the name, not just the first characters. This feature requires the Notes® 10 mail template (mail10.ntf).

5. You Can Manage Email by Creating and Setting Mail Rules

Does your inbox get flooded with emails every day (like it does for all of us)? Ever wish they would magically move to another folder where you can view them later; so that you can focus and concentrate on what is more important. 

Great news, with Notes Client, you can set rules that will automatically manage your emails and organize them in specific folders. This is possible by setting mail rules through the Manage and Create rule feature.
