Tutorial: How to Secure Domino Using Certmgr Task (letsencrypt)

With the stunning increase in security breaches and ongoing changes to regulations, Domino continues to provide a rock-solid, extremely secure platform to power your business. Today, I’m excited to share that with v12, we have a more secure and straight-forward way to implement TLS in Domino Server using “Let’s Encrypt.”  

Before getting into that, here’s a brief background about Let’s Encrypt. Let’s Encrypt is a non-profit certificate authority run by the Internet Security Research Group (ISRG) that provides X.509 certificates for Transport Layer Security (TLS) encryption at no charge. It is the world’s largest certificate authority, used by millions of websites. 

To have a secured website, you need to have https enabled on the server. To enable https, we need a certificate from a certificate authority (CA). Let’s Encrypt is one such CA, which also uses advanced encryption techniques at zero cost. 

Prior to Domino v12, OpenSSL and kyrtool tools were used to enable HTTPS for webmail. With the latest version, the certmgr task is now used to perform the same without creating any kyr files. 

With Domino V12, the certstore.nsf database is used to create and generate TLS certificates using Let’s Encrypt. You can also import the certificates into the database to manage them. 

Main requirements include Domino v12 server and a valid DNS (A-record) which can be accessed by the internet. The certstore.nsf, created on the admin server with the certmgr task running on the admin server, will act as a web agent which interacts with the Lets Encrypt to generate the keys. Let’s Encrypt will verify the domain name that is requested and issue one or more sets of challenges to provide the certificate. 

From the Domino end, we must make sure that the DNS and port are accessible on the open internet to perform the challenges.

Below is a tutorial on creating a new certificate using Let’s Encrypt.

Prerequisite:

  • Domino V12 and above. 
  • a valid DNS nameA record 
  • Ports 80 and 443 should be open for access.

First, you need to have a certificate store database (certstore.nsf) – it will be created by default, or you can create the same using certstore.ntf. Make sure that the certificate store (certstore.nsf) is created on the admin server. Open the certificate store and you will see the existing TLS certificate details as shown below.

To generate a new TLS certificate, navigate to the certstore.nsf and select “Add TLS Certificate.”

You will be prompted with the window below where you will be providing the required details to create the certificate. 

You must provide the Host names (mostly your host server name). 

In this example, we set the ACME account as “LetsEncryptStaging”, a non-production server performing the challenges. 

You can either choose RSA or ECDSA based on your requirement. Based on your environment provide the certificate attributes.

Once the required attributes are provided, you can submit the request.

After the request is submitted, you can see the new certificate request in the database which is yet to be processed as shown below. 

The certmgr task will initiate the request and perform the challenges with the Let’s Encrypt server. 

If the challenges are performed and completed, you will see the status as below. 

Since you have used the staging account, you may receive a warning message as the certificate is self-signed as shown below. 

Now you need to perform the same on the production ACME server – edit the document and change the ACME Account to “LetsEncryptProduction” and submit the request.

You will see the status below and it should allow the certmgr to process the request. 

You can check the status in the database once the request is processed—the status should be green. 

If there is any error message or if any challenges failed, you will see the status as red. You can also verify the error message in the request. 

The processed request will be as shown below, where the status will be issued and valid as shown below. 

You can validate the certificate as shown below. 

By default, the certificates are valid for 3 months – and certmgr will automatically renew them before they expire.

Das Leistungsversprechen von HCL Software klingt gut. Wenn ein Hersteller ein echte, von gegenseitigem Nutzen und auf Langfristigkeit angelegte Beziehung mit mir aufbauen will, ist das ohne Zweifel erfreulich. Nur weil heute alle sehr schnell beim „Du“ sind, bedeutet das aber nicht, dass da auch auch schon einen belastbare Vertrauensbasis da ist. Nicht nur das „Du“, auch das Vertrauen will verdient sein.

HCL Software ist 2018 mit viel Wohlwollen an den Start gegangen. Kunden wie Businesspartner haben mit Freude zur Kenntnis genommen, dass da ein Hersteller ist, der liefert was er verspricht. In über Jahre hinweg vernachlässigte Produkte wurde massiv investiert, in kurzer Folge gab es neue Versionen mit echter Innovation und neben der Mannschaft wurde auch das Portfolio Schritt für Schritt erweitert. In wenigen Jahren wurde aus einem StartUp innerhalb eines großen Konzerns ein Unternehmensbereich mit aktuell 5.500 Mitarbeitern.

„Relationship beyond the contract“, das klingt nach wie vor gut. Was mir als Kunde dabei aber zu kurz kommt ist das „Relationship“. Als Kunde bekomme ich von der positiven Entwicklung, die HCL Software genommen hat, leider nicht allzu viel mit. Wenn überhaupt, lese ich nur höchst selten von den Erfolgen, die HCL Software ja offensichtlich einfährt. Schade, andere Anbieter sind da leider weitaus offensiver.

Als Businesspartner ist mir das „Wir“ ein Stück weit abhanden gekommen. Wir sitzen alle im gleichen Boot, wollen gemeinsam mit und für unsere Kunden erfolgreich sein. Für immer mehr Businesspartner fühlt es sich aber leider so an, als wenn da nicht alle am Rudern sind. Ja, im Zweifel ist es mir allemal lieber, wenn gemachte Versprechen im Bereich der Produkte und Lösungen eingehalten werden, aber es wird Zeit, die StartUp-Zeiten hinter sich zu lassen. Konsistente und transparente Lizenzmodelle, ein Partnerprogramm das über die Bereitstellung von Demo-Versionen hinaus geht und eine nachhaltige Visibilität im Markt, das ist es, was Businesspartner zu Recht von einem Hersteller erwarten. Der zu häufig gemachte Verweis auf die große, internationale Organisation ist nicht zielführend.

Relationship muss vor Ort gepflegt werden, gerade wenn sie „beyond the contract“ sein soll.

HCL gibt Ausblick auf Connections V8

HCL Connections V7 wurde im Februar 2021 gelauncht. Ein Highlight von HCL Connections V7 war die Integration von Microsoft Teams. Die Version 8 steht im Zeichen der Benutzerfreundlichkeit.

Das Hochladen und Teilen von Inhalten, was ein zentrales Element von Connections ist, soll nochmal verbessert werden. Ebenso die Navigation und die Suche von Inhalten. Was genau kommen wird, wissen wir noch nicht. Eine öffentliche Beta Version gibt es bisher nicht.

Am 02.03.2022 von 16-17 Uhr CET gibt HCL einen Ausblick auf das neue Release 8 von Connections und die Roadmap. Sie können sich zu diesem Webinar noch anmelden.

Let’s get the obvious part out of the way: COVID-19 had ― and continues to have ― a profound impact on the world, and businesses have scrambled to adjust. How Domino v12 Improves an Administrator’s Life

As someone who has spent almost 28 years working around HCL Notes and Domino administration, my mind was blown with the number of new features that were delivered when v12 shipped in May of 2021.  And HCL kept the pedal pressed to the floorboard, introducing many more enhancements with Domino v12.0.1 in December of 2021. 

Considering the primary goal of a systems administrator is to protect the service, these new offerings make obtaining that goal easier.  When it comes to simplifying configuration, boosting security, and ensuring data integrity, Domino sets you up for success.

Nomad Web 

For years you have had the option of letting your end users access their Domino data from the Notes client or a web browser.  The Notes client provides various UI features, and the web browser offers mobility.  Nomad Web gives you the best of both worlds – a Notes client that is accessible from anywhere with zero local install required. 

By deploying Nomad Web, you no longer manage Notes client deployments.  The binary files supporting Nomad Web are on a single server.  In just a few minutes you can upgrade thousands of users to a new Notes version, apply a fix pack, etc. 

And, when migrating Notes users to Nomad Web, they can take their Notes desktop with them.  Out of the box, they have all their same databases available.

CertMgr  

Just like you wouldn’t send a letter in a non-sealed envelope, you should take the same safeguard and put a lock on your system’s network traffic.   

Domino v12 has a new Certificate Manager feature, which provides an easy and effective way of managing TLS credentials used for securing Domino server communications.  From within the Certificate Store database, you can create certificate requests, add trusted roots, upload received certificates and configure automatic renewal of Let’s Encrypt certificates.   

In v12.0.1 you can import PEM/PKCS12 certificates, export TLS credentials to PEM/PKCS12 certificates and create your own Domino based certificate authority.

Backups and Restores 

Mistakes, failures, and disasters happen.  Your ability to respond to these events is a keystone in data management.   

Domino v12 has a native backup and restore offering.  The configuration, processing and logging is all part of Domino.  As a result, the Domino administrator has complete control over protecting Domino’s data.   

Additionally, you can use third party backup software and integrate it with the native feature.  Domino v12.0.1 allows you to reliably restore data from a third party.  Full integration with Veeam snapshots are possible, too.

DKIM 

Domain Keys Identified Mail, DKIM, is an email security standard used to guarantee email messages are not tampered with during transit.   

Domino v12.0.1 supports DKIM by adding an encrypted signature to the messaging header of outbound emails.  DKIM signatures not only assure message contents but also confirm the originating point, meaning your sender addresses cannot be forged.  Adding DKIM to the Domino configuration allows recipients of your domain’s email to trust your communication’s authenticity.

Time-based One-time Password (TOTP) Authentication 

Domino v12 delivers 2-Factor authentication, requiring web users to provide both their user name/password credentials and a unique six-digit token.  The token is unique for the user, generated by the TOTP application and the user’s Domino ID Vault server.  While a third party may obtain a user’s credentials, they will not have access to the device running the TOTP application.  Hence, they cannot provide the required code and the access attempt fails.

IP Address Lockout 

The ability to control Domino resource access by IP address has been part of the SMTP and Router configuration for several releases.  With v12 you can also define which IP addresses are allowed to access the Domino server from a web browser.  Addresses outside of the allowed list will be denied access.

iNotes/Verse and User IDs 

A cornerstone of Notes client security is the ability to sign and encrypt email.  With the move to accessing email from a web browser, iNotes and Verse support document signing and encrypting by requiring a copy of the Notes ID be contained in the mail file.   

With v12.0.1 iNotes and Verse can use the ID stored in the ID Vault.  This enhancement continues the trend towards leveraging the ID Vault for security operations.  Using the ID Vault provides a secure, centralized and sustainable ID file storage strategy, which improves the formidability of the Domino deployment.

Domino Directory Enhancements 

The Domino Directory is where administrators do most of their configuration work.  Domino v12 adds new features to improve the directory’s usability. 

  • Auto group population: Groups can now be automatically updated based on a pre-defined criteria.  In a group document select Custom for the Auto Populate Method field and use the Selection Criteria field to define a LDAP search query, which will search the Domino Directory.  For example, have a membership list based on department name specified in person documents.
  • Mail-in database usability: The Mail-in Databases and Resources view now displays the Internet email address of mail-in databases. Also, there is a Go to Database action button available.  Pressing this button, opens the respective mail-in database of the document in focus.
  • Find Groups button: The Find Group action button, located on the Person document, shows all groups the user belongs to.  This is for both groups where the user is listed as a member and nested groups.
  • Find Server Config button: The Server document has a new Find Server Config action button, which displays a list of Configuration Settings documents associated with the server.  From the document list you may select one and open it. 

 AdminQ 

The Administration Process in Domino automates user renames, updating a locally stored ID, group listings, access control lists and Names fields in documents.  However, if a user does not log in from a Notes client, the rename process fails to complete. 

New to v12.0.1 is Admin Quick, which is a Notes database, adminq.nsf, AdminP uses to process user renames automatically.  While this feature is intended for iNotes and Verse users, the administrator can extend it to all users.

Cloud Native 

Cloud computing provides a means to be flexible and scalable without having to internally support an expensive infrastructure and respective IT staff, which equals the ability to stay competitive at a reduced cost. 

Your Domino v12 servers can be part of your cloud journey.  V12 is fully supported to run on all major platform vendors, including Google, Azure and AWS.  Domino servers are certified for Docker, Kubernetes, and Red Hat’s OpenShift.  As always, Domino provides you with options.

One Touch Setup 

Part of a modern DevOps strategy is the ability to quickly deploy servers using a script that defines configuration settings.  Additionally, re using a script ensures your standards are applied to each install. 

Domino v12 allows you to use a JSON when building new servers.  The JSON can be used for the first domain server or additional servers.  When deploying Domino on Docker, Windows and UNIX platforms a JSON can set up the Domino server, an ID Vault, register users, configure directory assistance, create/update applications/documents and enable agents.

Advanced Properties Box 

The document properties box is a valuable troubleshooting tool when it comes to reviewing document contents, specifically field values.   

With the Notes v12.0.1 client you now have an Advanced Properties box that allows you to search for field names and values, copy rows of data as a CSV, view profile documents and compare documents.  And, the advanced properties box can be resized, making the text easier to read.

AD/Domino Password Sync 

The Domino Directory, also known as the Public Address book, has existed since v1 was released in 1989.  And while it is great for managing a Domino environment, most often it is not the only system directory you have.  You wind up duplicating efforts with user life cycle processing. 

To reduce administration efforts Domino v11 introduced the ability to synchronize the contents of AD to the Domino Directory, which includes both user and group documents.  User creations, renames and deletions are performed in AD and then flow to the Domino Directory. 

Domino v12 now includes password synchronization with AD.  When a user’s password is changed in AD, the password for the respective user ID in the ID Vault and Internet password in the Person document are updated to the same value.

Conclusion 

Domino v12 and v12.0.1 offer several new features that the administrator can use to improve the security and operations of the Notes and Domino infrastructure, all while decreasing total cost of ownership.  Most important, these are all included as part of the entitlement, no additional cost required.  There has never been a better time to upgrade!   

And I can assure you that HCL is not backing off the commitment to continue delivering powerful administrative features as we look to Domino v12.0.2 and beyond.

Microsoft hat im Januar ein Update für OneDrive für Mac freigegeben. Mit diesem Update wurde u.a. die Funktion „Files On Demand“ überarbeitet. Dies sind Dateien, welche aus der Cloud heruntergeladen wurden und damit offline zur Verfügung stehen. 

Das ist nun jedoch anders, plötzlich sehen Sie nur noch Wolken auf Ihrem Rechner. Natürlich sind die Dateien, die bereits lokal auf dem Rechner gespeichert waren, nicht plötzlich verschwunden. Im Techcommunity Blog von Microsoft beschreibt Jack Nichols es als „kleine optische Täuschung“, da die Dateien noch im Cache sind, aber …“Leider erlaubt uns die aktuelle Implementierung von File Provider nicht, dem Betriebssystem mitzuteilen, dass wir den Inhalt der Datei bereits verfügbar haben – sie scheinen also nur online zu sein, obwohl ihr Inhalt in unserem Cache sicher ist und zum ersten Mal bereit ist, wenn Sie darauf zugreifen. Das Beste, was wir tun können, ist, das System anzuweisen, das immer verfügbare Symbol (das Häkchen) anzuzeigen, aber wir können dem System nicht sagen, dass es das Symbol „nicht heruntergeladen“ ausblenden soll. Das Symbol „nicht heruntergeladen“ wird automatisch vom Dateisystem angezeigt, wenn die Datei im Synchronisierungsstamm datenlos ist und es für OneDrive derzeit keine Möglichkeit gibt, dies zu überschreiben. Bitte beachten Sie, dass wir aktiv nach Wegen suchen, um dies anzugehen, da wir verstehen, dass es eine Top-Quelle (wenn nicht die Top-Quelle) der Benutzerverwirrung mit diesem Update ist.“

 

Wie können Sie also wieder offline zugreifen? Zunächst öffnen Sie den „Finder“

Unter „Orte“ sind OneDrive und die „freigegebenen SharePoint Bibliotheken“ vom Arbeitgeber zu finden.

Nun suchen Sie sich die Ordner oder auch nur die Dateien aus, mit denen Sie offline arbeiten möchten. Mit einem Rechts-klick der Maus markieren Sie „immer auf diesem Gerät behalten“. Welche Dateien verfügbar sind, können Sie am grauen Kreis mit dem Harken erkennen.

Damit sind sie offline verfügbar. Benötigen Sie die Dateien & Ordner nicht mehr offline, können Sie es mit der Funktion „Speicher freigeben“ rückgängig machen.

Dieses Update wurde lt. Microsoft erstellt, weil die aktuelle Version in Zukunft Kompatibilitätsprobleme haben wird und nicht mehr ausgeführt werden kann und auch, damit u.a. die Leistung der Rechner verbessert wird und der User schneller Speicherplatz freigeben kann, wenn dieser nur noch eingeschränkt zur Verfügung steht.

Weiter heißt es im Blog:“ …Die neue Datei „Dateien auf Anforderung“ erfordert ein Volume, das mit APFS formatiert ist. HFS+-Volumes werden nicht unterstützt.  Wir beenden die Unterstützung für HFS+ nach macOS 12.3 oder neuer. Eine sehr kleine Minderheit von Kunden synchronisiert OneDrive heute auf HFS+-Volumes. Wenn wir das neue Files On-Demand einführen, wird diesen Benutzern zunächst eine Warnung im OneDrive-Aktivitätscenter angezeigt, in der sie aufgefordert werden, ein Upgrade auf APFS durchzuführen. Sobald die neue Files On-Demand-Oberfläche vollständig ausgerollt ist, wird OneDrive erst gestartet, wenn das Volume auf APFS aktualisiert wurde. Sie können das Festplatten-Dienstprogramm (integriert in macOS) verwenden, um festzustellen, auf welchen Volumes APFS ausgeführt wird, und alle HFS+-Volumes auf APFS aktualisieren.“

Neben den OneDrive Änderungen wurden auch die Favoritenordner /Dateien entfernt, da hier aufgrund der Änderungen im OneDrive der Pfad nicht mehr passte.

Wenn Sie also offline arbeiten müssen/wollen, sollten Sie vorher gut überlegen welche Daten Sie benötigen, damit dies reibungslos funktioniert.

What Is It? A Workflow Primer.

A workflow is a series of tasks, set in a specific sequence, that process a set of data. Whenever data is passed between systems or team members, a workflow is created.
