HCL Connections: CR3 Now Available – A Recap of New Features in Recent Releases

Since the release of HCL Connections v8, our collaboration platform has undergone significant updates and improvements. Our most recent update, Connections 8.0.3 (CR3), is available now for download. Let’s take a moment to recap new features introduced in our recent releases, starting from the latest and working our way back.

Connections 8.0.3 (CR3) available now!

Connections 8.0.3 (CR3) brings a host of updates and improvements to the end user experience. Some of the key highlights include:

  • Enhanced user interface focused on simplicity and intuitiveness
    • With our HCL Sametime integration, we have made changes to deliver a better user experience. The status bar has been moved to the Connections header, providing easier access to chat and status options, such as setting a custom status message. The user’s custom status message is now visible on the user’s profile and business card. Additionally, the Sametime status indicator now shows for each person on the “Important to Me” bar.
  • Advanced security features to protect sensitive data
    • You can now configure HCL Connections to force all traffic that passes between a Connections server and a user’s web browser to be sent over TLS 1.3. This helps avoid security vulnerabilities in TLS 1.2 and earlier versions of SSL.
  • Upgraded guidance for customizing Connections
    • With the UI redesign, there have been updates to guidance on applying customizations starting in Connections 8.0. Legacy approaches used in Connections 7.0 and earlier versions are now unsupported, although some of the methods might still work.

Connections 8.0.2 (CR2)

Connections 8.0.2 (CR2) introduced several enhancements and bug fixes to further augment the user experience. This includes integrations with additional HCLSoftware applications for increased productivity and collaboration. Here are some notable updates in CR2:

  • Integration with HCL Leap – allows users to create applications such as polls and surveys to their communities
  • HCL Sametime integration – enables a user’s profile and business card to display along with setting their status and starting Sametime chat conversations within HCL Connections
  • HCL Connections mail plug-in support for HCL Verse – makes the collaboration experience with Connections more seamless, allowing for the optional configuration of “My Mail” and “My Calendar” plug-in to point to HCL Verse by default

Connections 8.0.1 (CR1)

Connections 8.0.1 (CR1) was the first update following the release of Connections 8.0, and it focused on addressing user feedback and bug fixes. Although this release did not introduce major feature updates, it played a crucial role in improving the overall stability and performance of the platform. Some key enhancements in CR1 include:

  • Introduction of TinyMCE Editor – an alternative, rich-text editor, providing extra features and extensive customization options to users
  • Bi-directional language support for Arabic and Hebrew – enables users to interact with Connections in their preferred language
  • Improved onboarding tour for the new HCL Connections – quickly acquaint users with the latest offerings, introducing the new UI, and highlighting features such as supercharged search, new navigations and universal share and upload

New Ideas: Streamlining Our Ideation Process

The HCL Digital Solutions Product Management team has streamlined the product ideation process for HCL Domino, HCL Domino Volt, HCL Sametime, HCL DX, HCL Connections, and HCL Volt MX.

We often get asked what our process is for how an idea becomes a feature and how best to submit an idea that will have a better chance of successfully becoming a reality.

This blog will help make the process more transparent, responding faster to our customers.

What Is an Ideas Portal, and Why Have One?

There are many factors that shape modern software development.  One of the most important is crowdsourcing feedback from our customers, specifically the users and administrators of our products. We have portals where customers can submit ideas for features and capabilities that they’d like to see happen for our products. By studying submissions and responses in our Ideas Portals, we understand more about how the product is being used and discover ways to make the experiences even better.

Submitting a New Idea

When you navigate to an Ideas Portal, you can select the “add a new idea” button. Some portals request you specify the product (because the portal contains more than one product). After that, add your idea, some details, and a category.  Categories help us to organize ideas and we may even recategorize your idea once we review it. Here’s a list of all our Digital Experience portals:

When you’re ready to add your idea, please follow three steps (outlined below). While we want to gather and prioritize your ideas, we’d like you to vote and comment on other people’s ideas too. Here is our best practice to add an idea:

Step #1: Search first to see if your idea already exists. Please vote for any ideas and add any additional comments that you may relate to your idea.

Step #2: If your idea doesn’t yet exist, create a new idea and format it like this: 
“As a <insert role>, I would like to be able to <insert action> in order to <insert need>.”

Step #3: Create as many ideas as you’d like but remember to keep each idea as a separate entry repeating steps 1 and 2 above, i.e., do not create an idea that consists of more than one request for enhancement.

Ideation Workflow and Process

Once your idea has been submitted it moves its way through our custom process and we evaluate strategy alignment, technical feasibility and scheduling.  Below is a simplified diagram of our process with an explanation of each step in the process.

All Ideas enter the system as “Needs Review.”  On a weekly basis Product Mangers (PMs) will examine that bucket of ideas and process them.

“Needs Clarification” is a possible outcome of a review because the PM does not understand the idea.  Here’s where you can make a huge contribution.

All ideas should be written as a “user story.”

As a person in my role, I want <this functionality>, so I get <this benefit>.

Example 1: As a Sametime meetings user, I want to have an interactive white board, so I can collaborate with peers and accelerate productivity through staying in one tool.

Example 2: As a Connections Wiki editor, I want the rich text editor buttons to stay on the visible screen as a scroll, to speed up the editing.

Notice, you are not telling us how to implement the idea but stating a need and a benefit.

Try to consider your fellow users and request features or fixes that could benefit many people, not just you, personally. This approach will increase the chances that your idea is accepted.

Once we understand the idea, the idea goes through a series of filters.  Is this already delivered? If yes, then we classify the ideas an “Already Exists.”  A more important question is: does this idea align with our goals for the product? Even if this is a great idea it could fail this test.  Be aware that we do not have unlimited resources and need to focus on the greatest benefit to the community of users.  So, do not take “No Plans to Implement” as a personal rejection.  It’s a business consideration, not a bad idea.

After the idea passes through this initial gauntlet of obstacles it is elevated to “Under Consideration.” If there are ideas that are similar in nature to this new idea, it will be merged with other ideas.  All votes under all the individual ideas are merged too, giving the merged idea more validity within the user community.

At this stage, we have a healthy backlog of ideas that can be promoted to a production feature. PMs triage this backlog and work in collaboration with our agile development staff to groom and size the idea into a deliverable story.

Sometimes an idea cannot be delivered for architectural reasons, or the feature is just too expensive to develop, and the benefit is too small.  For these reasons and ideas can be categorized as “No Plans to Implement.”

“Future Consideration” indicates that this is an idea we want to pursue, and we have the technical ability to deliver it, but cannot fit it in to the schedule at this time.  So, this idea is not assigned to a release.

“Assessment” begins the real work of user story decomposition and sizing. Items are being worked on by the development staff to quantify, understand and deliver the functionality.  For many reasons, the item cannot be committed to shipment date.

“Planning to Implement” is the most favorable outcome and indicate that resources are available, and we have the technical ability and we have space available to schedule this feature into a release on our board.

The final category is “Shipped”.  I don’t think this needs any explanation. 🙂

How to Create and Keep an Engaged Workforce

A recent Gallup study1 indicated that only a third of employees are truly engaged in their work. Gallup went on to say that organizations with higher engagement levels are not only more productive, they achieve four times higher earnings per share growth.

Recent Launches and a Look to the Future

We in Digital Solutions marketing are new to HCL. And we have a lot to do. The recent logo and branding re-imagining and the launch that we broadcast live from Tokyo is the beginning of a new era.
 
From a marketing perspective, we wanted to signal a change, put a flag in the ground to say, “Forget what you knew about these products; it’s time to look forward.” And after only a few weeks, we delivered an entirely new brand with new logos and creative under HCL Digital Solutions. We leaned heavily into a new color pallet, and completely redesigned all product logos. It was a chance, not one often given to marketers, to remake something that is already well-known and revered.
 
Our lead designer on the project was Liam McCormick, and I think he describes the design system best when he tells us, ”We went in search of something in HCL’s history that we could build upon, and what we found was what we considered the design DNA in the original HCL logo — it is shear angle of 24.24 degrees. We took that angle and built a grid system, and (take or leave a few hundred iterations) the new logo family was born from this original structure which can always be traced back to the mother brand of HCL.” And trust me, we could not have had better talent working on this redesign (Liam also helped design the Cisco WebEx and Vodafone logos).

But that wasn’t all we needed to do. We needed to capitalize on the momentum started with the launch of HCL Domino v10 to the rest of the portfolio. The first out of the gate on October 7, 2019, was HCL Digital Experience 9.5, a proven digital experience management platform and the very first product release for the newly acquired products. The new release provided many significant business and technical benefits, including unsurpassed standardization and flexibility, accelerated time-to-market, liberated experience delivery, and a lower total cost of ownership. And hundreds of clients and valuable business partners joined us in-person in Raleigh, North Carolina, and Milan to celebrate the launch.
 
Then, just a mere five months after the acquisition the major moment had arrived — on December 4th, 2019, HCL announced the general availability (GA) for HCL Domino v11, HCL Sametime v11, and HCL Connections v6.5. It was a milestone moment for the business, and I want to give a round of applause to the development teams that made it happen, many of which didn’t even have access to the code until post-acquisition in July. They worked tirelessly to reinvent the products and deliver on our commitments to our customers and business partners around the world. But it was the excitement that surrounded the launch that made me burst with joy, and our willingness to do something different that led to unforeseen impact.

Too often teams throw around words like “different” or “amazing,” but not acknowledging what we were able to accomplish with this truly “different” type of launch would be a misstep on my part as a leader. We knew we couldn’t go to a market like IBM — we aren’t that type of company, and frankly, it was time for a change. So, I tasked my team with thinking outside of the box for this launch.
 
And think outside of the box they did. They came to me with the idea of running a “Netflix-style” launch in which we broadcast the keynotes “Live from Tokyo” and then deliver 35+ pieces of new content ranging from thought leadership pieces to technical deep dives all at once in a “binge-able” format. I was dubious of course, but if there ever was a time to try it — now was that time.
 
After months of planning, we all got onto planes and flew to Tokyo for our big day. On December 4, 2019, at 9 AM ET (11 PM locally) we went live to the globe for the announcement of HCL Domino v11 and HCL Connections 6.5. And the impact was immediate: Thousands upon thousands of customers and partners tuned in live all over the world, and over 50+ business partners held concurrent viewing parties to celebrate in 20+ countries. The world map looked like a lit-up Christmas tree!

And it wasn’t just the marketing team that delivered impact in such a short timeframe. The product management and development teams made significant technical advancements for these products. We announced:

 


HCL Domino v11 builds on our mission: Apps that run your business.

  • Domino apps go mobile: HCL Nomad makes your existing apps available on Apple iPhone and iPad, Android and Chrome OS tablets with minimal effort
  • Domino apps get low-code development: HCL Domino Volt provides a new low-code development paradigm to build new Domino apps 60-70% faster and makes it easy to develop powerful new secure applications without any specialized skills rapidly
  • Domino apps integrate and synchronize: HCL Domino v11 is the most open version of the platform yet, with active directory synching to simplify integration with Microsoft Office 365 and enable enterprises to more fully leverage Domino with other tools and applications across their business


HCL Connections 6.5 has powerful new features to drive adoption and builds a foundation for future releases:

  • Bring your community with you. Connections Sidebar, an always-on dashboard connects your users to Connections from anywhere in your IT environment
  • Grow your communities faster with Connections Touchpoint, an onboarding wizard that connects new employees to the communities and content they need
  • Do more with Kudos Activities Plus — rapid, agile project management built for every employee


HCL Sametime v11 delivers secure conversations across every device:

  • Sametime has a new, intuitive user experience that works the way your users do
  • Built with the latest tech — now supported on Docker with the Sametime proxy running on Tomcat
  • Lower TCO than ever, with a simplified architecture and easier administration

Suffice it to say, this launch was one for the record books, but it is only the springboard with which we will start a new decade. And if you were to ask me what I felt like this moment meant for us, I’d say it’s providing the foundation for real innovation on the platform. Which brings me to where are we going.
 
Where We’re Going
Our transition to HCL has meant moving not just a suite of products but also people and teams. If there’s one question that the leadership team gets asked the most by our customers and partners, it’s, “Are you going to invest in the products?”
It’s a straightforward question, and there’s a straightforward answer to it: Yes. I, for one, am incredibly excited and humbled by the amount being invested into the teams developing these products, the marketing and sales engine that drive them, and into the teams solely dedicated to pushing the bounds of what’s possible on our platforms. With that, here are a few of the essential ways we are investing — deeply — in our teams and technology:

  • We are hiring hundreds upon hundreds of new developers around the world dedicated to HCL Domino, Sametime, Connections, and Digital Experience
  • We are substantially increasing our global marketing investment for brand building, awareness, and lead generation for our portfolio
  • We are focusing on innovation and the “art of the possible” by naming Jason Gary, Vice President and Chief Technology Officer for HCL Digital Solutions, to lead R&D and push the bounds of what these products can do

Are you ready to join us? The moment we have all been waiting for is here: The global launch of the newest versions of Domino, Connections, and Sametime. Domino v11 catapults us into the next generation of app dev. Connections 6.5 drives user adoption and builds a strong foundation for our future releases. Sametime v11 has a new, sleeker user experience.

But this is about more than just product releases. This launch represents a major milestone in HCL’s commitment to our customers and to modernizing and innovating a whole portfolio.

The excitement is building around the world. We are broadcasting live from Tokyo today, December 4, and thousands of customers, technologists, leaders, developers, and admins have signed up to participate from all around the world. From India to Arizona, we have almost 50 Business Partners hosting viewing parties of this launch, at company headquarters, conference centers, and even karaoke bars, making this launch one for the record books.
